Pressed for time and server space, Rodney Freeman, IT Supervisor at Duncan Regional Hospital, chose an online approach for backing-up their scanned images. Initially, they used a tape system, but back-up took days because of the large file sizes.
Instead, Duncan decided to export electronic images during the scanning process. As current records are scanned, they are sent to the local network and EDCO’s underground SecureStore for remote back-up. The underground also stores Duncan’s medical record archives. EDCO scanned the archival records and made them easily accessible online using software as a service (SaaS) solutions.
“We outsource scanning to EDCO whose onsite team converts our new charts to electronic format every day. They had already cleared the older medical records in the file room, and keep those images on their SaaS for our retrieval,” said Freeman. “It just made sense to do a remote back-up this way.”
The dual approach is not a requirement for performing an online remote back-up. However, storing the newly created images in two locations is a synergistic use of resources because it saves time and adds an extra measure of security.
Finding Better Solutions
EDCO freed up Duncan’s IT Department’s time and created efficiencies throughout the hospital using a three-pronged strategy:
